Covid-19 Policy

Purpose:

The health and safety of our AYA cancer community is our top priority. Stupid Cancer is excited to be hosting a live event this year, but we recognize there are many concerns about gathering in person during the ongoing pandemic. As a community with many immunocompromised members, we must prioritize a culture of caution and care for ourselves and others. Below are the Covid policies and guidelines that will be in place during the conference weekend. 

We strongly encourage patients to carefully review and discuss this policy with your medical team as you make the decision whether or not to attend CancerCon Live this year. 

These policies are subject to change.

Policy Statement

  • All attendees must submit proof of vaccination (initial dose plus boosters as recommended by the CDC) or provide documentation of a medical or religious exemption.
      • Attendees can upload their documentation via the CancerCon 2023 registration site or present original documents at the registration desk when checking in.
      • Any exempt, unvaccinated attendees must submit proof of negative PCR test results received within 48 hours of check in at the CancerCon registration desk.
  • All attendees are strongly encouraged to test at home before departing for Atlanta. 
      • Stupid Cancer will fully refund registration fees for any attendee with a documented positive test result received within 48 hours of scheduled arrival at CancerCon.
  • Masks are required to be worn over the nose and mouth at all times in conference areas when not actively eating or drinking.
      • During meal times, boxed meals will be made available upon request to those who prefer not to eat in the public dining area.
  • Attendees are expected to monitor their health and seek medical assistance should any symptoms of illness arise during their stay.
  • Rapid tests will be available at the registration desk upon request.

Traffic Light System

We know that everyone may have a different level of comfort with loosening restrictions. Our “traffic light” button system will allow attendees to easily communicate their boundaries.

RED buttons indicate HIGH CAUTION: Please don’t speak to me without a mask, keep 6+ feet distance at all times.

YELLOW buttons indicate MEDIUM CAUTION: I’m ok with elbow bumps and close conversations with masks on.

GREEN buttons indicate LOW CAUTION: I’m ok with high fives and quick hugs. I’m washing my hands A LOT.

In light of the ongoing spread of COVID-19, attendees who fall within any of the categories below should not attend CancerCon 2023 in person. By attending CancerCon 2023, all attendees certify that they do not fall into any of the following categories:

1.   Individuals who currently or within the past fourteen (14) days have experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others;

2.   Individuals who have traveled at any point in the past fourteen (14) days either internationally or to a community in the U.S. that has experienced or is experiencing sustained community spread of COVID-19; or

3. Individuals who believe they may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.

ASSUMPTION OF RISK & RELEASE OF LIABILITY

All attendees acknowledge the highly contagious nature of infectious disease, including but not limited to COVID-19, and the risk that they may be exposed to or contract COVID-19 by attending CancerCon. Attendees understand and acknowledge that such exposure or infection may result in serious illness, personal injury, psychological injury, pain, suffering, temporary or permanent disability, death and/or financial loss. Attendees understand that Stupid Cancer cannot guarantee that attendees will not become infected COVID-19 or any other infectious disease due to attending CancerCon, and that attending may increase the risk of contracting COVID-19 or any other infectious disease. Attendees also acknowledge that this risk may result from or be compounded by the actions, omissions, or negligence of others, including Stupid Cancer employees and volunteers.  Notwithstanding these risks, all attendees are voluntary participants with full knowledge of the precautionary measures in place and the risks involved for those attending CancerCon. Attendees acknowledge that they derive personal satisfaction and a benefit by virtue of their participation and attendance at Cancer Con 2023.

BASED ON THE FOREGOING, ATTENDEES hereby AGREE TO release, waive, and forever discharge any and all liability, claims and demands whatever kind or nature against Stupid Cancer, the Omni Atlanta Hotel at CNN Center, and any other third parties involved in the planning and execution of CancerCon 2023, including in each case, without limitation, their directors, officers, employees, volunteers and agents (the “released parties”), either in law or in equity, to the fullest extent permissible by law, including but not limited to damages or losses caused by the negligence, fault or conduct of any kind on the part of the released parties, including but not limited to serious illness, personal injury, psychological injury, pain, suffering, temporary or permanent disability, death and/or financial loss, which THE ATTENDEES, THEIR heirs, assignees, next of kin and/or legally appointed or designated representatives, may have or which may hereinafter accrue on THE ATTENDEE’S behalf, which arise or may hereafter arise from THEIR participation AT CANCERCON 2023.
